Managing appointments across multiple locations

One provider per place gives each location its own calendar and link, as a practical workaround.

Special cases

If you work in several places, such as branches or clinics, you may want a calendar for each. In 4appointments the list of locations is for display only: it isn’t tied to a booking or to availability. You can still run several places from one account by treating each place as a provider. Here’s how, and where the limits are.

Create a provider for each location, for example one called “Central branch” and another called “Mall branch”, each with the weekly schedule of that place. In the sidebar this section is called Providers. Each provider has its own calendar and its own booking link.

Share the right link in the right place: the Central link on that branch’s page and in its messages, the Mall link for the other. The customer then books directly with the location they chose. Turn off “Anyone available” in the public-page rules if you don’t want customers matched across places.

If one person works at several places, create one provider for each place with the days they work there, for example Monday to Wednesday in one and Thursday and Friday in the other. The tool doesn’t link the two calendars, so make sure the schedules never overlap, and use “Availability” to block a day once it’s taken elsewhere.

Use the team settings to decide who sees what: permissions are set per member, and calendar visibility can follow the whole company, teams or selected colleagues. The reports include a table for each provider, plus counts by status, by day and by service, so you can compare places. There’s no combined occupancy rate.

What to remember

  • ✓The locations list is display-only and doesn’t drive bookings
  • ✓One provider per place gives each location its own calendar and link
  • ✓Reports show a table per provider, to compare your places

Common questions

Can a staff member work at more than one location?+

Yes, as a workaround: create one provider for each place with the days they work there. The calendars aren’t linked, so avoid overlapping hours.

Is there an additional charge for each location?+

Plans cost €1, €2, €4 or €8 per month after 12 free months. Their limits are panel users, companies, storage and emails, not locations. See the pricing page.
