Issuing an invoice for an online appointment
4appointments issues no invoices; you export the booking data and invoice with your own tool.
Payments and confirmed bookings
4appointments is a booking tool. It does not issue invoices or receipts, and it does not connect to a tax or e-invoicing system. Here is what it does give you for invoicing and how to work alongside the tool you already use.
A booking holds the service, its duration, the date and time and the price as listed on the service. It does not hold any client tax details, so collect those yourself if a client needs a company invoice. The manual client list lets you keep a client’s name, email and phone; bookings made on the public page do not create entries in it, so add the clients you invoice regularly.
To invoice, confirm the booking in the panel and, once the service has been delivered, enter the details into your invoicing tool by hand. You can export the bookings list as CSV, XML or PDF to have the dates, services and amounts in front of you.
The reports show an estimated revenue per service, calculated from list prices. This is a planning aid, not a financial record or an invoice register.
Invoicing rules differ from country to country, and whether a receipt or an invoice is needed depends on your client and on local law, so ask your accountant. The plans give access to other apps in the same ecosystem, with their own data, but nothing is passed from bookings to invoices automatically.
Points to remember
- ✓No invoices or receipts are issued by 4appointments
- ✓Export the bookings list as CSV, XML or PDF to prepare invoices
- ✓Estimated revenue in reports is a guide, not an accounting record
Common questions
Must an invoice be issued for each appointment?+
That depends on your client and on local law. The booking tool does not decide this, so ask your accountant what you need to issue.
How is VAT handled on appointment invoices?+
4appointments issues no invoices and calculates no tax. The prices on services are the list prices you enter, and VAT is handled in your own invoicing tool, so speak to an accountant to make sure the set-up is correct.
