What 4appointments does and does not do today
When a client books through the public page, the booking stays pending and holds the slot until your team confirms or rejects it. Neither confirming nor rejecting sends the client a message, and neither do cancellations or changes made by the team. The SMS and WhatsApp quotas in some plans belong to 4notify and are not used by the booking flow. So do not assume the client receives anything automatically: if you want them to remember the appointment, you need to contact them yourself.
- Pending bookings hold the slot until your team confirms or rejects them
- Confirming, rejecting, cancelling or changing a booking sends the client no message
- No email, SMS or WhatsApp reminder is sent by the booking flow today
- Reminders are therefore your team's job, by phone, message or your own email
Give the client the essentials when they book
The best time to prevent forgetting is the booking itself. Tell the client, in person or on your website, when and how you will be in touch. A few details are worth knowing, and a short routine for the day before works better than an occasional effort.
- The link to cancel or reschedule appears on the client's confirmation screen and is not emailed, so suggest that they save it
- For bookings created by your team, the client never sees that screen: copy the manage link and send it yourself
- The phone number typed into the public form is not stored, so ask for their preferred contact when you confirm the booking
- The day before, open tomorrow's bookings in the panel or export the list to PDF, then contact each client on the channel they gave you
A manual routine, and reminders for your team
In your message, repeat the service, date, time and place so the client does not have to look for them, and ask for a short reply confirming attendance. If someone cancels, cancel the booking in the panel so the slot becomes free again. Each provider also has their own ICS link, which you can subscribe to from your phone's calendar: the bookings then appear next to your personal commitments, and your calendar app can show alerts to the provider. This reminds the team, not the client, and how quickly it updates depends on your calendar app. A service message, such as a reminder of an appointment already agreed, is not the same as advertising, and the rules treat the two differently. Before using your client list for news or promotions, check what the rules on electronic communications and data protection in your country require, and keep service messages to the service, date, time and how to cancel. Common questions
Does 4appointments send reminders to clients?
No. Today no email, SMS or WhatsApp message leaves the tool for the client. Reminders have to be handled by your own team.
Does the client receive the link to cancel or reschedule?
They only see it on the confirmation screen right after booking. It is not emailed. For bookings created by your team, you need to copy the link and send it to the client.
Can I use the SMS quotas in my plan to remind clients?
Not from bookings. Those quotas belong to 4notify and the booking flow does not use them. Any SMS or messages you send have to go from your own phone or another tool.
How long before should I contact the client?
There is no fixed rule. Pick a moment you can always keep to, for example the end of the previous day, and stick with it. For long services or ones that need preparation, you can get in touch earlier.
Want a simple diary for your team?
See the 4appointments plans: the first 12 months are free, no card needed (see the pricing page). The tool organises the diary; reminders to clients are still done by you.
