Appointment reminders: what you can do today

Today, 4appointments does not send emails, SMS or WhatsApp messages to clients, so there are no confirmations and no reminders. Reminding people about their appointment is up to your team. This page explains which simple routines work without any automatic message.

What 4appointments does and doesn’t do today

When a client books through the public page, the booking stays pending and holds the slot until your team confirms or rejects it. Confirming or rejecting sends the client no message, and neither do cancellations or changes made by the team. Some plans include SMS and WhatsApp quotas from 4notify, but the booking flow does not use them. Don’t assume the client receives anything automatically: if you want them to remember the appointment, contact them yourself.

  • Every public booking starts as pending and holds the slot until your team confirms it
  • Confirming, rejecting, canceling or changing a booking sends the client no message
  • The link to cancel or reschedule appears on the client’s confirmation screen only, not in an email
  • SMS and WhatsApp quotas from 4notify exist in some plans, but bookings do not use them

Give the client the essentials at the time of booking

The best time to prevent forgetting is the booking itself. Tell the client, in person or on your website, when and how you will be in touch and how to cancel. Bookings your team creates never show the client that confirmation screen, so copy the manage link and send it yourself.

  • Suggest that the client saves the manage link from the confirmation screen
  • For bookings your team creates, copy the manage link and send it to the client yourself
  • The phone number typed into the public form is not stored, so ask for the preferred contact when you confirm
  • Repeat the service, date, time and place in every message so the client does not have to look for them

A manual routine for the day before

A short routine done at the same time every day works better than an occasional effort. Open tomorrow’s bookings in the panel, or export the list to PDF and print it. Contact each client on the channel they gave you, and ask for a short reply confirming attendance. If someone cancels, cancel the booking in the panel so the slot becomes free again. For your own staff, each provider’s ICS link can be added to a phone calendar, which reminds the provider, not the client.

Common questions

Does 4appointments send reminders to clients?

No. Today no email, SMS or WhatsApp message leaves the tool for the client. Reminders have to be handled by your own team.

Does the client receive the link to cancel or reschedule?

They see it only on the confirmation screen right after booking. It is not emailed. For bookings your team creates, copy the link and send it to the client.

Can I use the SMS quotas in my plan to send reminders?

Not from bookings. Those quotas belong to 4notify, and the booking flow does not use them. Any text or WhatsApp message has to be sent from your own phone or another tool.

How far ahead should I contact the client?

There is no fixed rule. Pick a moment you can always keep to, such as the end of the previous day, and stick with it. For long services or ones that need preparation, reach out earlier.
