Managing appointments for multiple employees
Each provider has their own schedule and link, and the team calendar shows everyone together.
Running your business
Scheduling for a team gets simpler when each person has their own provider profile, with a weekly schedule and a calendar, and you can see the whole team in one view.
Each employee who takes bookings is added as a provider. For each provider you set a weekly schedule, exceptions and days off under “Availability”, and optionally a limit on the number of appointments per day. Every service appears for every provider, because services can’t be assigned to individual people.
Clients can request a particular provider on the booking page, or choose “Any available person”, which assigns the provider with the fewest bookings. You can switch that option off in the rules of the public page. Each provider also has a separate booking link that you can share.
The team calendar shows all providers together. Its visibility is set for your company: with client names, only your teams, selected colleagues or private. Access is controlled per member of the panel, by section and action, or as full access, and members with the right permissions can create bookings by hand.
Reports include a table per provider with the number of bookings and the total duration. There are no shift plans or occupancy figures. When someone leaves, stop using their provider profile and handle their existing bookings yourself.
Key takeaways
- ✓Every provider gets a weekly schedule and a booking link of their own
- ✓“Any available person” picks the provider with fewer bookings and can be turned off
- ✓Team calendar visibility and permissions are set per member
Common questions
What’s the maximum number of staff I can add?+
The plan limits count users of the panel (5, 10, 20 or 40 depending on the plan), not the people who have a calendar. See the pricing page for the details of each plan.
Can staff create appointments themselves?+
Yes, if their permissions allow it. Access can be set separately for each member, by section and action. Every service is offered for every provider, so use clear service names if you need to tell them apart.
