Managing client appointments in an online app
One panel for your bookings, team members and services, with a calendar you can read by day, week or month.
Running your business
An online booking app puts your whole schedule in a single panel: incoming requests, the calendar, your providers and services, and simple reports on what has happened.
You begin by entering your services (with a name, a duration and a price) and the providers who deliver them, each with their own weekly schedule. Under “Availability” you add the days and hours when each provider can be booked, plus exceptions and days off. From these settings, the system works out which times are open.
Clients request appointments on your public booking page, and each request appears in the bookings list of your panel as pending. There you confirm or reject it. Confirming sends the client nothing, so you contact them yourself. When someone phones or drops in, you can create a booking by hand.
The calendar can be viewed as day, week, month or a list. You can see the whole team’s calendar, according to the visibility you set, and export the bookings list as CSV, XML or PDF. The manual client list holds names, emails and phone numbers that you enter yourself; public bookings don’t add entries to it.
Reports cover confirmed, pending and cancelled bookings, the cancellation rate, bookings per day, per service and per provider, total duration and an estimated revenue per service based on list prices. There is no occupancy figure and no automatic client messaging.
Key takeaways
- ✓Day, week, month and list views of the calendar
- ✓Manual bookings for clients who phone or walk in
- ✓Roles that limit what each member of the team can see and change
Common questions
Can I limit what my staff can see?+
Yes. The account owner can give each member access to selected sections and actions, or full access. The team calendar can show client names, only your teams or selected colleagues, or be kept private.
Is it possible to bring in appointments from another system?+
Only through an .ics file, which is imported once as confirmed bookings. It covers events starting within the next 60 days, the file can be up to 2 MB, and the title becomes the client’s name, with no email or phone. There is no CSV import.
