How to invoice for an online appointment

4appointments issues no invoices; you export the booking data and invoice with your own tool.

Payments & firm bookings

4appointments is a booking tool. It doesn’t issue invoices or receipts and doesn’t connect to a tax or e-invoicing system. Here’s what it does give you for invoicing and how to work with it alongside the tool you already use.

A booking holds the service, its duration, the date and time and the price as listed on the service. It doesn’t hold any client tax details, so collect those yourself if a client needs a company invoice.

To invoice, confirm the booking in the panel and, once the service has been delivered, enter the details into your invoicing tool by hand. You can export the bookings list as CSV, XML or PDF to have dates, services and amounts in front of you.

The manual client list lets you keep a client’s name, email and phone, which is handy when preparing an invoice. Bookings made on the public page don’t create entries in it, so add the clients you invoice regularly. The reports show an estimated revenue per service from list prices, which is a planning aid and not a financial record.

Invoicing rules differ from country to country, and whether a receipt or a tax invoice is needed depends on your client and local law, so ask your accountant. The plans give access to other apps in the same ecosystem, with their own data, but nothing is passed from bookings to invoices automatically.

Common questions

Do I need to issue an invoice for each appointment?+

That depends on what the client requires and on local law. The booking tool doesn’t decide this, so ask your accountant what you need to issue.

How is VAT dealt with on appointment invoices?+

4appointments issues no invoices and calculates no tax. Service prices are the list prices you enter, and VAT is handled in your own invoicing tool. Speak to an accountant to make sure it’s set up correctly.
