24/7 online booking — your own booking page, a team calendar and confirmation from the panel

Clients book at any time, from any device, without an account or a phone call. The request lands in your calendar, your team confirms or declines it in the panel, and you stay in control of availability.

An online booking system moves reservations from the phone to a page that is open around the clock. In 4appointments every business has a public booking link: the client picks a service, a person and a free slot, enters a name (e-mail is optional) and sends the request. The request holds the slot and stays “pending” until your team confirms or declines it in the panel — confirmation is not automatic, and the application does not send the client an e-mail. Everything shows up in one calendar by day, week, month or list.

Four building blocks of your online calendar

Team calendar

All bookings in one view: day, week, month or list. Every team member has their own calendar, and the team calendar shows colleagues’ schedules according to the visibility you choose (whole company, teams, selected colleagues or private).

Self-service booking

The client opens your link, picks a service and a free slot and sends the request in seconds, without an account. You can offer “Anyone available” (the provider with fewer bookings is assigned) or share a separate link for each provider. The page carries your business name, logo (a URL) and primary colour. The language of the public page depends on the link you share — check it before sending.

External calendars via ICS

A team member’s calendar can subscribe to an external ICS link (Google, Outlook and other apps offer one): busy time from there blocks slots, refreshed roughly every 15 minutes. You can also import an .ics file, and each provider can export their bookings through an ICS link. This is import of busy time only — there is no two-way sync with Google Calendar or Outlook.

Recurring series created by staff

When creating a new booking in the panel, staff can choose to repeat it: weekly, every two weeks or “monthly” (every 30 days). Sessions are generated once a day, about 30 days ahead, with no end date. A public booking cannot become a series, and the panel has no “cancel the whole series” button.

Advantages

  • Clients send requests 24/7, with no account and no phone call.
  • One booking link per business and a separate link per provider, plus an “Anyone available” option.
  • The public page carries your business name, logo and primary colour.
  • Day, week, month and list calendar, with a team calendar and adjustable visibility.
  • Busy time from external calendars can be imported through an ICS link, so bookings do not overlap with it.

Limitations

  • Public bookings are not confirmed automatically: every request stays “pending” until your team confirms or declines it in the panel.
  • Unresolved requests are cancelled automatically, without notice, about one hour after the end of the requested slot.
  • The application sends the client no e-mails (confirmation, reminder, cancellation); the management link appears only on the client’s own screen.
  • There is no two-way sync with Google Calendar or Outlook — only busy-time import via ICS and an ICS export per provider.
  • A booking is one service; there are no online payments, group classes or bookings of resources (rooms, equipment).

Who it is for

A good fit for small and medium businesses that want a booking page open around the clock and confirm requests by hand (practices, salons, consultancies, local services). Less suitable if you need automatic confirmation, messages to the client, online payment or two-way Google/Outlook sync.

Frequently asked questions about online booking

Can I accept bookings without answering the phone?

Yes. Clients open your booking link, pick a free slot and send the request, with no account. The request appears in the panel as “pending” and holds the slot until your team confirms or declines it.

Is a booking confirmed automatically?

No. Every public booking stays pending until your team confirms it in the panel. Confirming or declining sends nothing to the client, so you let them know through your own channel. Unresolved requests are cancelled automatically, without notice, about one hour after the end of the requested slot.

Does it sync with Google Calendar or Outlook?

Not two-way. A team member’s calendar can subscribe to an external ICS link, and busy time from there blocks slots (refreshed roughly every 15 minutes); each provider’s bookings can be exported through an ICS link. There is no direct connection to Google or Outlook.

Can I create bookings that repeat?

Yes, but only staff can, from the panel: weekly, every two weeks or monthly (every 30 days). A client cannot request a series from the public page.

Can I customise the booking page?

Yes, within the existing options: business name, logo (as a URL) and primary colour. The page lives on the panel’s address rather than on your own domain, and its language depends on the link you share — check it before sending.
