How to manage customer appointments in an online app

One panel for your bookings, providers and services, with a calendar you can read by day, week or month.

Management for business

An online booking app gives you one panel for the whole schedule: incoming requests, the calendar, your providers and services, and a simple view of what happened over the last 30 days.

You start by setting up the services you offer, each with a name, a duration and a price, and the providers who deliver them, each with their own weekly schedule. Under “Availability” you add the days and hours when each provider can be booked, plus exceptions and days off.

Customers request appointments on your public booking page, and each request appears in the bookings list of your panel as pending. There you confirm or reject it. Confirming sends the customer nothing, so you contact them yourself. You can also create bookings by hand when a customer phones or comes in.

The calendar can be viewed as day, week, month or a list, and you can move appointments by dragging them. The team calendar follows the visibility you set, and you can export the bookings list as CSV, XML or PDF. The manual customer list holds the names, emails and phone numbers that you enter; bookings made on the public page do not add entries to it. Roles let you give each member of the panel access to certain sections and actions only.

Reports cover the last 30 days: confirmed, pending and cancelled bookings, the cancellation rate, bookings per day, per service and per provider, total duration and an estimated revenue per service based on list prices. There is no occupancy figure and no automatic customer messaging.

Points to remember

  • ✓Day, week, month and list views of the calendar
  • ✓Manual bookings for customers who phone or walk in
  • ✓Roles that limit what each member of the team can see and change

Common questions

Can I restrict what my team can see?+

Yes. The account owner can give each member access to selected sections and actions, or full access. The team calendar can show customer names, only your teams, selected colleagues, or be private.

Can I import appointments from another system?+

Only through an .ics file, which is imported once as confirmed bookings. It covers events starting within the next 60 days, the file can be up to 2 MB, and the title becomes the customer’s name, with no email or phone. There is no CSV import.
