What happens when a client books
The client picks the service and time and sends the request. It appears in the panel as “pending” and occupies the slot so nobody else can book it. Your team confirms or rejects it; neither action sends the client a message. If nobody answers, the request cancels itself, without notice, about an hour after the end of the requested slot. So tell the client, by phone or on your site, how and when they will get an answer.
A manual routine for the day before
A short routine, done at the same time every day, works better than occasional effort. Open tomorrow’s bookings list (you can export it as a PDF), contact each client on the channel they gave you — a call, a personal message or an e-mail from your own account — ask for a short reply confirming they will come, and cancel any dropped bookings in the panel so the slot frees up. Repeat the service, date, time and place in your message. The phone number in the public form is not kept and the e-mail is optional, so ask for a preferred contact when you confirm.
The client’s management link
After booking, the client’s screen shows a link they can use to cancel or move the booking, with no cut-off time. The link is not sent by e-mail: suggest that the client saves it. For bookings created by your team, or for sessions of a recurring series, the client does not see this screen, so you copy the link from the panel and send it yourself. When a booking is moved, availability is checked, and a pending booking stays pending.
