How to reduce no-shows for your appointments
Confirm each booking yourself, contact clients before the visit and make cancelling easy.
Payments and confirmed bookings
No-shows cost you time and money. 4appointments has no no-show status, no counter and no automatic messages to clients, but a few habits that fit the way it works can still keep empty slots down.
Use manual confirmation as a first filter. Every request arrives as pending, so you can contact the client before confirming. A short call or text to settle the details makes the client more committed than a booking that just appears in the calendar. Then remind clients yourself: the day before, open the next day’s bookings in the calendar and send a brief message to each client. You can export the list as CSV, XML or PDF to work from.
Make cancelling easy. The management link on the final screen lets a client cancel without ringing, and the tool sets no cut-off, so a time can be freed even at short notice. Remind clients to keep the link, and send it to those whose booking you created yourself.
Use the settings that shape demand. A minimum notice rule stops last-minute requests that are hardest to honour, and a daily limit per provider keeps the schedule realistic. If you want a deposit, agree it with the client outside the tool and confirm the booking only once you’ve received it.
Write your rules down on your website or in your confirmation message: how late a cancellation may be and what follows if a client doesn’t come. Then watch the reports. They show cancellations and the cancellation rate, but there’s no no-show status or blacklist, so keep your own notes on repeat cases.
What to remember
- ✓Confirm each request yourself and use the call or text to settle details
- ✓Remind clients by hand the day before, working from the day’s list
- ✓A cancellation link on the final screen frees slots sooner
Common questions
What should I do about a regular who keeps not turning up?+
The tool has no blacklist or no-show status. You can ask that client for a deposit arranged outside the tool, or leave their next request pending until you’ve spoken to them.
Do reminders really bring no-shows down?+
A personal reminder is a simple courtesy that gives clients a chance to cancel in time. 4appointments doesn’t send them, so it’s a manual step for your team.
