Why aren’t appointments showing in the calendar?
Check the view and date range, the booking status, calendar visibility and your external ICS calendars.
When things go wrong
When a booking seems to be missing from the 4appointments calendar, the cause is usually simple: a different view or date range, a status you didn’t expect, or a visibility setting. Work through the checks below in order. There’s no direct Google Calendar connection, so a missing event in Google is explained below too.
Check the view and the date. The calendar offers day, week, month and agenda views. On the day view, bookings for other days won’t appear, and a past week hides future ones. Move to the right date, switch view, or open the list of bookings, which shows everything in one place.
Check the status. Every booking made on the public page starts as pending, and pending requests nobody confirms or rejects are cancelled automatically about an hour after the end of the requested time. A cancelled booking keeps a cancelled status instead of vanishing, so look for it in the list before assuming it was lost.
Check who’s selected. If the calendar is filtered to one provider, you won’t see the others. Also look at team calendar visibility: it can be set for the whole company, for teams, for selected colleagues or kept private, so a colleague may legitimately see only part of the picture.
Check your external calendars. 4appointments doesn’t write to Google Calendar or Outlook. You can subscribe to an external calendar through its ICS link, which brings in its busy blocks about every 15 minutes, or import a one-off .ics file as confirmed bookings (only events starting within the next 60 days; past or overlapping events are skipped). If the booking still can’t be found, search the list by the client’s name, or create it yourself from the bookings section.
What to remember
- ✓A different view or date range hides most missing bookings
- ✓Pending requests nobody handles are cancelled automatically about an hour after the requested time ends
- ✓External calendars connect only through ICS: subscription, one-off import or export
Common questions
I deleted an appointment by mistake. Can I get it back?+
Open the list of bookings and check its status. If the slot is still free, the simplest route is to create the booking again, or ask the client to book through the public page.
The appointment is visible to me but not to a staff member. Why?+
Check the team calendar visibility and the roles of your team members. Visibility can be limited to certain colleagues or kept private, and permissions are set per member.
