Manual confirmation and reminders

Public bookings arrive as “pending” and you confirm or reject them in the panel. Reminding clients stays with you; here is what helps and which simple routines work.

No-shows and forgotten appointments are a real cost for any business that runs on bookings, but 4appointments does not send clients e-mails, text messages or WhatsApp messages today: no confirmations, no reminders, no cancellation or change notices. A booking made on the public page arrives as “pending”, holds the slot and waits for your team to confirm or reject it in the panel — and neither action sends anything to the client. This page explains exactly what happens and what you can do by hand: the management link, a routine for the day before and subscribing your team to the ICS agenda.

  • Public bookings are “pending”: they hold the slot until confirmed or rejected by hand.
  • Confirming and rejecting send no message to the client; you let them know through your own channel.
  • Requests left unresolved are cancelled automatically, with no message, about an hour after the end of the requested slot.
  • The cancel-or-move link appears on the client’s screen after booking and is not sent by e-mail.
  • For bookings created by your team, the management link is copied from the panel and sent by hand.
  • The bookings list can be exported (CSV, XML or PDF) to contact the next day’s clients.
  • Each team member has an ICS export link, so your team can get phone calendar alerts.

What happens when a client books

The client picks the service and time and sends the request. It appears in the panel as “pending” and occupies the slot so nobody else can book it. Your team confirms or rejects it; neither action sends the client a message. If nobody answers, the request cancels itself, without notice, about an hour after the end of the requested slot. So tell the client, by phone or on your site, how and when they will get an answer.

A manual routine for the day before

A short routine, done at the same time every day, works better than occasional effort. Open tomorrow’s bookings list (you can export it as a PDF), contact each client on the channel they gave you — a call, a personal message or an e-mail from your own account — ask for a short reply confirming they will come, and cancel any dropped bookings in the panel so the slot frees up. Repeat the service, date, time and place in your message. The phone number in the public form is not kept and the e-mail is optional, so ask for a preferred contact when you confirm.

The client’s management link

After booking, the client’s screen shows a link they can use to cancel or move the booking, with no cut-off time. The link is not sent by e-mail: suggest that the client saves it. For bookings created by your team, or for sessions of a recurring series, the client does not see this screen, so you copy the link from the panel and send it yourself. When a booking is moved, availability is checked, and a pending booking stays pending.

Frequently asked questions

Does the client get a confirmation e-mail?

No. Neither confirming, rejecting nor cancelling sends the client a message. The client sees only the screen after booking; after that your team has to tell them, by phone, message or its own e-mail.

Are reminders sent 24 hours or 1 hour before?

No. 4appointments does not send reminders to clients. You can use a manual routine with the next day’s bookings list, and subscribe your team to the ICS agenda for alerts in the phone calendar.

How does the client cancel or move a booking?

Through the management link shown on their screen after booking. There is no cancellation cut-off, and the link is not sent by e-mail; for bookings created by your team, the link is copied from the panel and sent by hand.

What happens to a request I do not confirm?

It stays “pending” and holds the slot. If it is not resolved, it is cancelled automatically, with no message, about an hour after the end of the requested slot.

How can my team remind itself of bookings?

Each team member has an ICS export link. If you subscribe to it in your phone’s calendar app, bookings appear next to personal events and the app can show alerts. This reminds your team, not the client, and updates depend on how often the app refreshes the subscription.
