Day-to-day booking operations — manual bookings, permissions, ICS calendar and export

Staff create manual bookings, share out rights by section, import busy time via ICS and export data. Contracts, notifications and projects in the ecosystem are separate apps, not connected automatically.

In daily work, bookings are handled by different people: reception adds bookings taken by phone, the manager follows the reports, a specialist keeps an external calendar. For this, 4appointments offers bookings created manually by staff (with availability checks), permissions per member, import of busy time from external calendars and an export of the bookings list. There are no signed contracts, automatic notifications, project tasks or sync with a staff system tied to bookings.

The operational tools that exist

Bookings created by staff

From the bookings list, staff add a booking by hand — for example one taken by phone — including recurring series. The provider’s availability, overlaps and busy time imported via ICS are checked; the “Interval” pause and the notice rules, however, are not applied.

Roles and permissions

Rights are granted per member, by section and action, or as full access. Only administrators can regenerate the public link. The application sends no e-mails to clients, no SMS, no WhatsApp messages and no webhooks.

External calendar via ICS

Each member can subscribe up to 3 external calendars through an ICS link (https, refreshed roughly every 15 minutes): busy time blocks slots, and events marked as free are ignored. An .ics file (up to 2 MB, events in the next 60 days) can also be imported as confirmed bookings. Each provider can export their bookings through an ICS link.

Clients and export

The client list (name, e-mail, phone) is filled in manually; public bookings do not add entries to it. The bookings list exports as CSV, XML or PDF, and a client can be deleted (bookings keep the name and e-mail). There is no sync with project management or with a staff system.

Advantages

  • Bookings taken by phone are added manually, with checks for availability and overlaps.
  • Permissions per member, by section and action.
  • Busy time from external calendars is imported via ICS (up to 3 per member).
  • .ics file import as confirmed bookings.
  • Bookings export as CSV, XML or PDF.

Limitations

  • There are no contracts or electronic signatures tied to bookings.
  • There are no automatic notifications (e-mail to clients, SMS, WhatsApp) or webhooks.
  • There are no project tasks or sync with a staff or timesheet system.
  • Bookings created by staff ignore the “Interval” pause and the notice rules.
  • The client’s management link is not sent automatically; for bookings created by staff it must be copied and sent manually.

Who it is for

A good fit for teams that manage bookings directly in the panel and want simple control over rights and calendars. Less suitable if you need contracts, automatic notifications or flows connected with projects and staff.

Frequently asked questions about day-to-day operations

Can I add a booking taken by phone?

Yes. Staff create bookings in the panel, with checks for availability, overlaps and imported busy time; the “Interval” pause and notice rules are not applied. Recurring series can only be created here.

Are automatic notifications sent?

No. The application sends no e-mails to clients, no SMS, no WhatsApp messages and no webhooks. Your team communicates through its own channels.

Can a contract be signed before a booking?

Not in 4appointments. There are no contracts or electronic signatures tied to bookings.

How are rights shared out in the team?

Per member, by section and action, or with full access. Only administrators can regenerate the public link.

Can I use external calendars?

Only as busy time: each member can subscribe up to 3 ICS links (https, ~15 min) and an .ics file can be imported. There is no two-way sync with Google or Outlook.
