How to fix overlapping appointments

Overlapping appointments usually happen when bookings are managed manually (phone, messages) and there’s no automatic system blocking busy slots. Here’s how to fix them and how to prevent them.

Identify the overlap: open the calendar for that day and compare the appointments for the same employee or resource. Overlaps are immediately visible in the calendar’s hourly view.

Contact the client with the more recent overlap (or the manually added appointment) and offer to reschedule to a free time. Acting quickly matters — the sooner you reach out, the easier it is to find an acceptable alternative.

Reschedule manually from the dashboard: drag the appointment to a new slot or use the “Reschedule” button and pick a free slot. The client automatically receives a new confirmation with the updated details.

To prevent future overlaps: enable automatic slot blocking and stop managing bookings manually by phone (or migrate them fully into the system). If the problems came from importing old data, check that there are no duplicates.
